Astonbury Travel is a trading name of Patient Thread Ltd, registered in England and Wales, which is the data controller for the personal information described here and is registered with the Information Commissioner's Office, registration number ZC223090. What we collect
When you enquire, we collect your name, contact details and what you tell us about your trip. When you become a client and complete a traveller profile, we collect the details needed to book travel on your behalf:
- Identity as shown in your passport: names, gender marker, date of birth, nationality.
- Passport details: number, dates and country of issue.
- Contact details, home address and an emergency contact.
- Travel preferences: airlines, cabin, seating, dietary requirements and loyalty programme numbers.
- Optionally, and only with your explicit consent, accessibility or medical needs relevant to travelling.
If you contact us by WhatsApp, your phone number and the messages you send are also processed by WhatsApp (Meta Platforms Ireland Limited) under their own terms, in addition to ours. Messages are end-to-end encrypted in transit; we keep the chat history on our business device so we can pick up where we left off, and we delete it on request.
We do not collect or store payment card details through this website.
Why we use it
- To answer your enquiry and to design, book and manage your travel: necessary for a contract with you, or steps you ask us to take before one.
- To store accessibility or medical travel needs: your explicit consent, which you may withdraw at any time.
- To keep booking and accounting records: our legal obligations.
- To send occasional travel ideas by email: only with your consent, and every message lets you opt out.
Who we share it with
Only as needed to arrange your travel: airlines, hotels, tour operators, transfer providers and The Getaway Collection, through which bookings are made and protected. Where you travel internationally, passenger information is passed to carriers and border authorities of the countries you visit, as required by their law. We never sell your information.
Where it lives and for how long
Traveller profiles are held in an access-controlled database (Supabase, hosted in the UK/EU). Our website is hosted by Netlify, and enquiry notifications reach us by email. We keep your profile while you remain a client and delete it on request; booking and accounting records are kept for up to seven years as the law requires.
Your rights
You may ask for a copy of your data, have it corrected or deleted, restrict or object to its use, take it elsewhere, and withdraw any consent, all free of charge, by emailing chris@astonburytravel.co.uk. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
